When not to use this process

Internal movers: taking another job at the Essex Council Council

If they are taking another job at the Essex Council Council, you may need to follow the internal movers guidance instead. Contact the Recruitment team (PDF, 124KB) before making an employee a leaver in My Oracle.

Redundancy, ill health retirement and compromise agreements

You should not make someone a leaver in My Oracle if they are leaving due to redundancy, ill health retirement or a compromise agreement. These situations are managed by a People Support caseworker who will tell Payroll to end their employment.  

If they have more than one role at the council

If an employee has more than one role (assignment) and they are only leaving one role, make a request to end the employee’s assignment on the Assyst portal

You will need to confirm the employee's name, payroll number, leaving date, and the reason why they are ending their role. Their employment will be manually ended for you. 

If they are leaving all their roles, then you can follow the steps to make them a leaver on My Oracle. This will terminate all their roles.  

Update an employee record in My Oracle 

When you receive confirmation of an employee's resignation or agreed retirement date, you should end their employment by updating their record in My Oracle.  

To update your employee’s record, go to My Oracle and select ‘My Team’, then the ‘My Team’ app.
