If someone moves to a new role

Find out how to update My Oracle records when an employee moves to a different position in the council.

Managing our resources through internal moves helps to build the capability of the internal workforce, and enables us to respond quickly to changing business priorities.

There are several types of internal move​​​. Where the candidate is already in post for six months or more:

  • fixed-term employee moving to a permanent position
  • secondee moving permanently into their secondment position

In both these cases, the responsible manager must check with their finance contact that permanent funding is available and then make the assignment change on My Oracle. This will trigger a new contract to be issued by Payroll.

If a secondment opportunity is managed within a team, once a successful candidate is identified, the hiring manager can make the change on My Oracle following these simple steps. You must make sure all the necessary safeguarding checks have been completed with the Essex Recruitment Team first.

Changes you can make in My Oracle

You can use My Oracle to:

  • create a position for an employee
  • release an employee
  • claim an employee
  • close a position

Changes to pay (salary)

​Changes to an employee's annual salary can be made in My Oracle.

Pl​ease note that you can only change a salary grade for an employee if the salary range for that role spans more that one grade, such as Band one to three.​

Update an employee’s assignment

After the employee has moved to another team it may be necessary to make additional changes to their assignment. You will need to record any:

  • changes to pay
  • change of hours
  • change of location

Changes to IT permissions

When someone moves teams the releasing line manager should assess the risk of the change and request the removal of access to anything not required as part of the new role. This will include, but is not limited to, access to applications, systems, shared drives, elevated permissions in My Oracle, mailboxes, mobile phone tariffs and social media access.
