Using Copilot Chat

Copilot Chat is the only artificial intelligence (AI) tool approved for use by all council employees.

If you want to use something else, you will need to get permission to use a new AI tool.

Get started with Copilot Chat

Just like an assistant, Copilot Chat can help you with daily tasks, helping you get things done more efficiently. How you use it is up to you.

Copilot Chat can help you to:

  • draft content for reports, emails and presentations
  • condense complex information into easy to understand summaries
  • perform common tasks throughout your day to save time and improve your wellbeing – you can find ideas and examples on how to use AI for the workplace on My 365 and Microsoft's guide to learning how to use Copilot Chat
  • upload files like Word docs, Excel files and PDFs to prompt Copilot Chat to analyse and interpret them as part of its response.
  • generate visuals such as charts, tables and images – make sure you follow the council’s brand guidelines
  • brainstorm ideas for projects and campaigns
  • carry out research and gather information
  • interpret data and generate insights

Using Copilot Chat securely at work

When you use Copilot Chat on an Essex County Council work device, like a laptop, the information you share is protected.

It’s handled with the same level of security and privacy as other Microsoft services, such as your emails, documents and Teams messages. This includes any files you upload.

Information you put into Copilot Chat will only be used to answer your prompts. It is not shared with any other parties.

When using Copilot Chat, remember to:

  • follow our artificial intelligence (AI) policy
  • check anything Copilot Chat produces to make sure it is accurate
  • avoid using it to make decisions – any important decisions should be made by humans

If you are unsure about using Copilot Chat for a specific task, you can:

When to say content was made using Copilot Chat

You must say clearly when content has been fully generated by Copilot Chat. It must still be reviewed by a human before being published.

You don’t need to disclose content that’s only been edited, transcribed or summarised by AI, as long as it has been checked by a human.

Template for a disclosure footnote

One way to disclose the use of AI is by adding a note or footnote.

This document contains content generated by artificial intelligence (AI). AI generated content has been reviewed by the author for accuracy and edited or revised where necessary. The author takes responsibility for this content.
