Define the meeting

When thinking about setting up a meeting, you might want to consider:

Purpose of the meeting

Is a meeting the best way to achieve the outcomes you need? Can the outcome be achieved without the need for a meeting at all?

Design of the meeting

Think about how you are going to design your meeting to achieve your outcome i.e. do you need to relay information, is there a need to collaborate and create ideas or problem solve?

Audience

Who needs to attend the meeting, where are they based and is it physically possible to get everyone together in a specific location, or are you able to meet 100% virtually? If a hybrid meeting – a mix of face to face participants and virtual participants – what would be the varying experiences of the attendees be? And will this method enable you achieve your desired outcome for the meeting?

Connectivity

Does everyone have access to technology to join the meeting virtually or are they all able to join the meeting in person?
