Claiming for overtime

If you need to claim payment for additional hours or enhancements the claim must be made on My Oracle using the ‘Time and Absences’ menu by creating a Time Card.

Once the Time Card has been submitted the claim goes to your line manager for approval.

All additional hour and enhancement claims are paid in accordance with your contract and relevant pay policy.

​If you have arranged to take the time rather than receive payment you do not need to record this on My Oracle.

Employees held on Essex Pay grades​

Employees on Essex Pay grades G to J and Social Care grade H can claim payment for additional hours in line with Essex Pay.

Claim types are:

  • 'Additional Hours - Core' which pays 100% of each hour claimed
  • ​'Additional Hours - Outside Core' which pays 120% of each hour claimed
  • ​'Additional Hours - Sunday or BH (Bank Holiday)' which pays 200% of each hour claimed​​

The council's core hours are:

  • ​Monday to Friday, 7am to 8pm
  • Saturday, 8am to 5pm

Employees held on National Joint Council (NJC) grades and conditions​

​Contracted to less than 37 hours per week

Employees who are contracted to less than 37 hours per week should use the claim type 'LGGB Plain time Hours'. This pays 100% of each hour claimed for hours worked up to 37 hours, including contracted hours, in total for the week.

If 37 hours in a week is exceeded, use either the claim types:

  • ​'LGGB Addit Hours Time and a Half MontoSat' paying 150% of each hour claimed
  • 'LGGB Addit Hours Double Time Sunday and PH (Public Holiday)' paying 200% of each hour claimed​

Contracted to 37 hours per week

Employees who are contracted for 37 hours per week should use either the claim type:

  • ​'LGGB Addit Hours Time and a H​alf MontoSat' which pays 150% of each hour claimed
  • 'LGGB Addit Hours Double Time Sunday and PH (Public Holiday)' which pays 200% of each hour claimed

When will l get paid?

​Check when the payroll deadline for approved Time Cards is. All claims must be submitted and approved by the deadline.

If the claim remains unapproved it will carry forward each month until it is approved.

Let your line manager know when you have submitted your claim and remind them of the deadline.

You can check the approval status of your Time Card within My Oracle under ‘Existing Time Cards’.

If you submit a claim and it has not been approved because your line manager is on long-term absence, please contact People and Payroll Services via the Assyst portal by raising an unpaid 'Expenses / Additional Hours' query.

Make sure you complete the further details box explaining that your line manager is currently absent from work and approval needs to be reassigned.
