Apply for a new or replacement ID card

Before you apply

New card

Your email and payroll accounts must be created before you apply so you can be set up to use 'follow me printing'. If you attend a photo session before doing this, Mitie can not produce your card.

If you have not got these accounts set up yet, your manager can collect an authorisation form from the security helpdesk so you can get a day pass for up to one month while your card is being produced. This option is also available to you if you're working here for less than one month.

Replacement card

You can apply for a replacement ID card up to one month before your card expiry date. You existing card will stop working when the new card is produced which means it's either on its way to you or is ready for collection.

You need to send a new up to date photo when requesting a replacement card.

If your job title or details need changing on your existing ID card, tick the option on the request form for a replacement card. The job title field is limited to 20 characters. If you apply online, your new security ID card will be sent by secure mail to you.

You can choose to either apply online or in person at County Hall.

Apply online

Complete the ID request form (DOC, 128KB) and ask your line manager to send this and a photo of yourself to the ID cards email address.

The photo should be:

  • passport-style, front facing head and shoulders
  • taken with a blank background (if possible)
  • in a JPEG or BITMAP format

You must not:

  • wear sunglasses or hats
  • have your hair obstructing your face

If you photo does not meet these guidelines, it will result in a delay to you receiving your ID card.

Apply in person

Complete the ID request form (DOC, 128KB) and ask your line manager to send this to the ID cards email address.

You'll need to attend a photo session at County Hall in room BG06. These are held at the following times:

  • Monday from 10am to 11am
  • Tuesday from 10am to 11am
  • Wednesday from 2pm to 3pm
  • Thursday from 10am to 11am
  • Friday from 2pm to 3pm

Form guidance

You'll need to choose the correct card design for your role:

  • Adult Social Care for Adult Social Care frontline employees such as social workers and senior practitioners
  • Children and Families for frontline employees such as social workers and senior practitioners
  • Right of entry for rights of entry staff who require the relevant legislation on the back of the ID card
  • Travel trainer for staff who require the relevant legislation on the back of the ID card
  • Standard frontline for employees who interact with clients and public not associated with the above templates such as reception staff - this is the default card for staff who select front line but do not select specific template listed above
  • Standard non-frontline for the majority of staff who do not interact with clients or public (back office). This is the default card when a template is not selected and either non-frontline selected or neither selected
  • ECC partner for all formally registered partners have a designated design incorporating their company logo
